TCRS Exchange Ambassador Selection and Funding Guidelines
1. Purpose
To promote international collaboration, the Taiwanese Coral Reef Society (TCRS) has signed a Memorandum of Understanding with the Japanese Coral Reef Society (JCRS). Each year, TCRS selects one Exchange Ambassador to represent the Society at the JCRS Annual Meeting, with the goal of learning about the latest research developments and sharing the knowledge with TCRS members.
2. Responsibilities of the Exchange Ambassador
- Attend the JCRS Annual Meeting and prepare an Exchange Report.
- Submit the Exchange Report to the TCRS Secretariat within one month after the conference. Failure to submit the report will result in the loss of reimbursement eligibility.
- The Exchange Report will be published in the following year’s TCRS General Assembly handbook for members’ reference.
3. Eligibility
- Applicants must have been TCRS members for at least one year and have no outstanding membership fees.
- Previous Exchange Ambassadors are not eligible to apply again within two years of their appointment.
4. Funding
The funding includes:
- JCRS conference registration fee and banquet fee.
- Round-trip economy-class airfare between Taiwan and Japan.
- Daily subsistence allowance during the conference, in accordance with the Taiwanese government’s overseas travel allowance regulations.
All reimbursements are made on an actual-expense basis and require original receipts, invoices, boarding passes, and other supporting documents. Currency exchange rates will be calculated based on the receipt date, while the subsistence allowance will be calculated using the average exchange rate during the conference period.
5. Application Documents
- Curriculum Vitae (CV), including personal information, research interests, and any additional supporting materials.
6. Application and Selection
- Applications are accepted annually from July 1 to July 15.
- Submit all application documents as a single PDF file to the TCRS email address with the subject line: “TCRS Exchange Ambassador_Applicant Name.”
- Applications will be reviewed and voted on by the TCRS Board of Directors. One primary candidate and one alternate candidate will be selected. If no applicant is deemed suitable, no appointment will be made.
7. Announcement
- Selection results will be announced annually on September 1 via email and published on the TCRS website and social media platforms.
- Selected applicants must confirm acceptance within seven days of notification. Failure to respond by the deadline will be regarded as a withdrawal, and the alternate candidate will be offered the position.
